Institutional pricing

Formal deployment for schools, districts, and universities

What institutions get that individual users don't

When teachers use Process Feedback individually, the school has no formal relationship with us. There is no compliance coverage, no data agreement, no training, no official support.

An institutional agreement means your school officially deploys Process Feedback with a signed Data Privacy Agreement, scheduled compliance audits, and priority support. Teachers keep using what they already love, but your institution has the formal foundation to use it at scale.

Institutional pricing is for schools, districts, colleges, and universities that require formal deployment support, privacy documentation, LMS integration, or compliance review.

We do not price based on the number of students or teachers. Institutional pricing is based on:

  • Governance (who manages deployment and policy)
  • Data handling (what data we handle and store)
  • Support level (response time and operational support)

Start with a pilot

Institutions can start with a six-month pilot.

The pilot program is designed for institutions that want to evaluate Process Feedback formally before signing an annual contract. It includes everything in a full institutional agreement for free.

The pilot includes:

  • Signed Data Privacy Agreement (DPA)
  • Teacher training sessions
  • Email support with agreed response times
  • Clear success criteria defined upfront

Tier 1 pricing: local-only deployment with no data collection

Tier 1 is designed for privacy-conscious institutions that want local-only processing with no centralized data retention. It is well suited for schools and universities that do not require LTI 1.3.

Our Tier 1 pricing structure offers three support levels based on requested response times.

Scope Standard Priority Premium
(5 business days) (1 business day) (2 hours)
One school $200 per year $400 per year $800 per year
One college or university
Low compliance requirements
$800 per year $1,600 per year $3,200 per year
One college or university
High compliance requirements
$1,800 per year $3,600 per year $7,200

Services included in Tier 1 pricing across all support levels:

  • Data Privacy Agreement (DPA) or Data Security Agreement (DSA)
  • Scheduled privacy audits to verify zero-data-collection compliance and ensure local-only processing
  • Deployment support for Google Docs and LMS browser extensions
  • Teacher training sessions, webinars, and workshops as required
  • Technical email support based on the selected support level
  • Formal confirmation of data privacy
  • Teacher dashboard feature for teachers to analyze multiple students' writing process reports at a time

Institutions requiring data retention, LMS integrations, or compliance stewardship are quoted individually because those obligations vary by jurisdiction and policy.

How institutional pricing works

Process Feedback does not price by the number of teachers, students, courses, or seats. Adoption volume does not determine price. Pricing reflects the institutional responsibility Process Feedback assumes.

Our pricing concept is:

Price = Deployment Scope × Data Handling Tier + Support Level

  • Deployment scope defines who governs the deployment and who sets policy (e.g., department, school, district, state)
  • Data handling defines what Process Feedback is responsible for handling and retaining (we offer three tiers)
  • Institutions select a support level based on internal capacity and response needs

In practice, institutional pricing depends on deployment scope, required data handling, compliance obligations, and support expectations.

Deployment and data handling tiers

These tiers define how Process Feedback can be deployed and what level of data handling, storage, and institutional support is required.

Process Feedback offers three deployment and data handling tiers:

  • Tier 1 — Local-only deployment with no centralized data retention
  • Tier 2 — Standard institutional deployment with LMS/LTI support
  • Tier 3 — Specialized hosting or jurisdiction-specific compliance requirements

For Tier 2 and Tier 3 pricing, please contact us for details. Regardless of tier, all institutional users retain access to Process Feedback's freely available community tools — including the online editor, online compiler, browser extensions, and local dashboards — as these remain free for individual use outside of institutional governance.

What we do not sell

We intentionally avoid pricing models that limit adoption or require surveillance.

  • No per-user or seat-based pricing
  • No usage limits or data caps
  • No tracking of individual behavior
  • No pricing based on student or teacher counts

Identity and usage tracking

In privacy-preserving deployments, Process Feedback does not collect or log individual usage information.

Identity and centralized data management are introduced only when institutions require shared reports, system integrations, or formal data retention policies.

Data storage and retention

  • Writing process data are retained for defined periods
  • Extended retention is a governance decision, not a usage decision
  • Institutions that require long-term storage explicitly opt in
  • Process Feedback is not a data warehouse by default

Regulatory and policy alignment

Documentation for institutional review may include DPA/DSA support, VPAT, HECVAT, and deployment-specific privacy information, depending on the engagement.

No data is sold or used for secondary purposes.
