Terms of Sale for the Moodle Plugin
Terms that apply when an institution buys a Process Feedback institutional subscription
Effective date: October 7, 2026
Key Points (TL;DR)
- The Moodle plugins are free and open source under the GPL v3. You do not need to buy anything to use them.
- What we sell is an optional institutional subscription: support, compliance documentation, domain configuration, and training.
- One annual price covers the whole institution. There is no per-student, per-teacher, or per-seat pricing.
- Subscriptions do not renew automatically, and institutions can start with a free pilot.
- If a subscription ends, the plugins and all data in your Moodle stay with you.
1. What these Terms cover
The Moodle plugins are free. Both plugins are open-source software under the GNU GPL v3 or later, and anyone may download, install, and use them at no cost. No purchase is needed to use them, and buying a subscription does not change the license.
What Process Feedback sells is an optional Tier 1 institutional subscription for institutions that want formal support and compliance coverage. These Terms of Sale apply to that subscription. Use of the plugins themselves is covered by our Terms of Use for the Moodle Plugin, and data handling by our Privacy Notice for the Moodle Plugin.
The seller is Process Feedback, LLC, St. Louis, Missouri, USA. Where a signed order form, quote, or institutional agreement covers a subject addressed here, that document governs and prevails in the event of any conflict.
2. What the subscription includes
A Tier 1 subscription covers the whole institution and includes:
- Support by email at the selected support level (see Section 3).
- Report-page domain recognition for the institution's Moodle site, so the Open report button opens reports automatically.
- Share this Report disabled for the institution's email domains, so no report data from those accounts can be uploaded to Process Feedback.
- Compliance documentation: a Data Privacy Agreement (DPA), a formal certificate of data privacy naming the institution's domains, our Accessibility Conformance Report (VPAT), and completion of reasonable security questionnaires.
- Scheduled privacy audits to verify zero-data-collection compliance.
- Teacher training sessions and workshops.
- All Tier 1 products: one subscription covers both the Moodle plugin and the Process Feedback for Google Docs extension. They are not priced separately.
3. Pricing
Process Feedback does not price by the number of students, teachers, courses, or seats. The annual price depends on the deployment scope (for example, one college or university, or a university system) and the support level:
- Standard: requests acknowledged within 5 business days.
- Priority: requests acknowledged within 1 business day.
- Premium: requests acknowledged within 2 business hours.
Current rates are published on our institutional pricing page. The price for a specific institution is the one stated in its written quote or agreement.
All prices are in US dollars and exclude VAT and other applicable taxes, which are added where required by law.
4. Free pilots
Institutions may start with a free pilot. The length and scope of a pilot are set out in a written pilot proposal. No payment is due during a pilot, and the institution is under no obligation to subscribe when it ends. If the institution decides to subscribe, the subscription begins after the pilot ends.
5. Ordering and payment
A subscription starts once the institution accepts a written quote or signs an agreement, or issues a purchase order against one. Subscriptions are billed annually in advance.
We invoice the institution's purchasing contact. Unless the quote or agreement states otherwise, invoices are due within 30 days. Institutions may pay by bank transfer or by card. Card payments are processed by Stripe, and we do not store card details.
6. Term and renewal
A subscription runs for 12 months from its start date unless the quote or agreement states a different term.
Subscriptions do not renew automatically. Before the end of each term, we contact the institution to confirm whether it wishes to renew. A renewal is billed only once the institution confirms it in writing.
Price changes apply only from a renewal, never during a paid term, and are stated in the renewal quote. A rate locked in a quote or agreement applies for the period stated there.
7. Cancellation and refunds
An institution may decide not to renew at any time before renewal, without penalty.
Fees for a term that has started are non-refundable, except that we refund the unused portion of a paid term, pro rata, if:
- we end the subscription for any reason other than the institution's breach; or
- we materially fail to provide what is included in Section 2, and do not fix the failure within 30 days of written notice from the institution.
Nothing in this section limits any rights the institution has under applicable law.
8. When a subscription ends
When a subscription ends, the institution keeps everything it already has. The plugins remain installed and keep working under the GPL, and submitted process data stays in the institution's Moodle. Teachers and students can continue to use the free community edition of our tools.
The subscription services in Section 2 end with the subscription, including priority support, domain recognition, and the domain-level block on Share this Report. Before the block is lifted, we notify the institution so it can decide how to inform users. We delete any support correspondence from the institution within 30 days of the end of the subscription and confirm this in writing on request.
9. Additional requirements
Some institutions require certifications, insurance, independent penetration testing, or contract terms beyond what is listed in Section 2. We are happy to discuss these. Any such requirements, and any effect they have on price, are agreed in writing before the subscription starts.
10. Governing law
Unless the institution's agreement provides otherwise, these Terms of Sale are governed by the laws of the State of Missouri, USA.
11. Changes to these Terms
We may update these Terms of Sale. Changes apply to new subscriptions and renewals, not to a term that has already been paid for. When we make changes, we post the updated Terms here and update the effective date above.
