Terms of Use for LTI Users

1. Scope of these Terms

These Terms apply to Process Feedback LTI (https://lti.processfeedback.org) when integrated into and accessed through an institution's learning management system (LMS) using the LTI standard.

The service has two sides. Students get a writing space where they draft and submit work. Instructors get a view-only dashboard for the courses they teach, where they read submitted work and the writing process behind it. Which one a person sees is determined by the role the LMS sends at launch. These Terms cover both.

Our other tools (browser extensions, plugins, online document editor, online compiler, etc.) are governed by our general Terms of Use.

These Terms are not a contract between Process Feedback and individual students or instructors. The institution has entered into an agreement with Process Feedback, LLC covering use of this service, the handling of institutional data, and the parties' respective obligations. These Terms describe how the service works and what is expected of the people using it. They do not ask a student or instructor to accept obligations personally, and they are not a condition of doing coursework.

Where a signed institutional agreement or Data Privacy Agreement (DPA) covers a subject addressed here, that agreement governs and prevails in the event of any conflict.

2. Who provides the service

Process Feedback, LLC operates this service. How we handle data is described in our Privacy Notice for LTI Users. For anything else, reach us at contact@processfeedback.org.

3. How access works

Access is provided entirely through the institution's LMS. There are no Process Feedback accounts, usernames, or passwords for institutional users.

• The LMS confirms who each person is and what role they hold (student, instructor, teaching assistant) every time they open the tool.
• Access follows enrollment. When someone is removed from a course in the LMS, their access to the tool for that course ends automatically.
• We do not create, hold, or manage credentials for anyone.

Because identity is asserted by the institution, questions about access, enrollment, roles, or permissions go to the institution rather than to us.

4. What the service does

Process Feedback records how a document is written (revisions, edits, and the timing of activity) so that the writing process is visible to the student who wrote it and, for submitted work, to their instructor.

While a student writes. The student writing space is local-first. Text and process data are held in the browser's local storage on the device in use, and nothing is transmitted to our servers until the student saves. On a shared or public computer, unsaved work stays in that browser until it is cleared, so students should save before leaving a shared device or delete their documents from the device when finished. Work saved online is available on any device; work that exists only locally is not.

Submitted work. Once a student submits an assignment, the document and its process record become part of the institution's course record and are visible directly in the LMS. Submitted work cannot be deleted through the tool; deletion requests are handled by the institution.

Unsubmitted work. Students can edit and delete their own drafts, both those saved online and those held only on their device. A draft saved online is available to the course instructor through its interactive report link, only after it is submitted once; it is not displayed directly in the LMS until the student submits it.

The instructor dashboard is view-only. An instructor can read submitted work and open the interactive report for work a student has saved online. They cannot edit, annotate, or delete a student's document, and nothing an instructor does in the dashboard changes the student's record.

5. AI features

There is currently no AI enabled in this service. Student work is not currently sent to any AI or machine learning system, and no institutional data is used to train a model.

Any future AI feature will be disabled by default and available only when an institution elects to enable it under its agreement with Process Feedback. Before any such feature is enabled, we will update the applicable privacy notice and institutional agreement terms to describe its data handling and safeguards.

While no AI is enabled:

• No automated determination is made about any student. Process Feedback produces no authenticity score, no misconduct score, no risk rating, and no flag asserting wrongdoing. Any academic integrity decision is made by institutional staff under institutional policy, outside this service.
• Writing-process data is not used to identify individuals, to verify identity, or to build behavioural profiles.

6. Ownership of content

Students retain ownership of their original work. Nothing in these Terms transfers ownership of student work to Process Feedback.

Institutions control the education records created through the service, including documents, writing-process data, and associated metadata. We hold this data as a service provider acting on the institution's behalf and under its direction.

Our permission is limited to running the service. We use content only to provide the functionality the user or institution has requested. We do not:

• sell, rent, or license student data;
• use student data for advertising, marketing, or targeted communications;
• use student data to train AI or machine learning models;
• use student data for research, benchmarking, or product analytics beyond what is required to operate and support the service;
• combine institutional data with data from our other products or from any outside source.

Our own materials. Process Feedback's platform, name, branding, code, and documentation remain ours. Consistent with our copyleft philosophy, our original published content is generally available under CC BY-SA 4.0 or an equivalent license. Our name, logo, and interface may not be reproduced in ways that suggest affiliation or endorsement.

7. Acceptable use

When using this service, do not:

• attempt to access another person's work, another course's data, or another institution's data;
• attempt to circumvent access controls, probe or test the security of the service, or interfere with its operation;
• use automated tools to extract content in bulk;
• upload content you do not have the right to submit, or content that is unlawful;
• submit malicious code or content intended to disrupt the service or other users.

The institution's own acceptable use, academic integrity, and student conduct policies also apply, and are enforced by the institution.

We may suspend access where necessary to protect the service, its users, or institutional data. Where we do so, we notify the affected institution.

8. Viewing a student's writing process

Every launch carries a role and a course context from the LMS, and access follows them. An instructor sees submitted work directly in the LMS and may open interactive reports for saved-online work in the courses they teach. There is no view across courses they are not teaching, no institution-wide browsing of student writing, and no way to reach a student's drafts in another course.

Instructors see nothing about a student's work that the student cannot see themselves. The dashboard presents the same writing-process record the student has access to. There is no separate instructor-only analysis, score, or rating behind it.

Writing-process information describes how a document was written. It is descriptive evidence, not a judgment. Institutions and instructors are responsible for interpreting it in accordance with their own academic integrity policies, and for affording students whatever process those policies require.

9. Availability and support

We aim to keep the service available and reliable, but we do not guarantee uninterrupted or error-free operation. Planned maintenance is scheduled outside peak hours where practical, and institutions are notified in advance of material changes.

Support for students and instructors is provided in the first instance by their institution. Institutional administrators may contact us at contact@processfeedback.org.

10. Changes to the service and to these Terms

We may update the service and these Terms. When we make changes, we post the updated Terms here and update the effective date above.

For material changes affecting data handling, security posture, or institutional obligations, we notify institutional contacts in advance, in accordance with the applicable institutional agreement. We do not require students or instructors to accept updated terms as a condition of continuing their coursework.

11. Governing agreement and law

For institutional users, the agreement between Process Feedback, LLC and the institution governs the relationship, including any dispute resolution, liability, and governing law provisions. These Terms do not create separate dispute resolution obligations for individual students or instructors, and do not require individuals to waive rights or agree to arbitration.

Process Feedback, LLC is organized in the United States and operates under the laws of the State of Missouri, except where an institutional agreement provides otherwise.
